Laptops now more affordable for students

Students gain access to the campus network and It systems via approximately 2500 computers in RGA’s. In addition to this access the aim is to encourage students to increasingly use their own laptops or tablets.  In line with this initiative competitive prices for laptops were negotiated by means of a country-wide student laptop project. The computers have been tested and approved by the IT-department of the SU and are therefore being recommended to students.

The products are well priced with a considerable discount on the fixed price list of some of the models. All models come standard with Windows 7 and Office 10 Pro – another saving of R1200-00.

Models ranging from entry-level to advanced – four each from both Acer and Lenovo – have been chosen. The specifications are equivalent per category and you can therefore easily choose the brand that suits your needs best.

So what is ECM?

Enterprise Content Management (ECM) is the strategies, methods and tools used to capture, manage, store, preserve, and deliver content and documents related to organizational processes. ECM covers the management of information within the entire scope of an enterprise whether that information is in the form of a paper document, an electronic file, a database print stream, or even an email.

Ok, so what does this actually mean and how will it make my life easier? ECM will simplify your workday in the following ways:

-          Less paper to file and organise. At last the paperless office!

-          Keeping track of all you documents. Documents will be in one central place, not on pc’s of four different people.

-          Better compliancy

-          Accessible from anywhere – whether you’re on holiday in Margate or sitting in a boardroom in Cape Town.

-          No more confusion when it comes to too many versions of critical documents. Gone are the days of last minute confusion before a meeting to find the latest version of your document.

-          Easy to retrieve. No more heaps of paper to sort through or disorganised folders on your pc.

-          Safety of documents not on site in case of fire.

The concept of ECM isn’t an entirely new one on campus. At the moment SharePoint Team sites are used to a lesser extent as a tool. However to make full use of the advantages of ECM, a whole new generation of SharePoint will be implemented shortly.

This implementation is the first step of a bigger project which will, at a later stage, also include Business Intelligence. On a more practical level this platform will also be used to host the websites on campus.

Through the whole process IT will be communicating the development of the project to campus and there will be ample opportunity for all those currently involved in team sites to attend training days. For other interested parties information sessions will be held to give a broader overview of the project.

New Web Regulations approved

Web owners and editors are requested to familiarise themselves with the new web regulations that were approved recently by die Rector’s management team.  These regulations will be the framework for communication on all Stellenbosch University’s (SU) electronic platforms. It will apply until an official web policy has been formulated and presented to the University Council by the end of 2012.

The web regulations cover all websites, irrespective of the technological platform or content management system, and they apply to mobile sites, as well.  Many websites are public-facing to some degree and must reflect the image and brand of the University, but at the same time, the ethos and freedoms of a university should be accommodated. The web regulations attempt to strike a fair balance between control and freedom.

Due to the increase in electronic communication with internal and external target groups, the need for guidelines to regulate the content, use and management of websites has been identified. The regulations also serve as a point of reference for departments within the University that want to create their own websites and it provides practical information.

The approved web regulations further explain the roles of, amongst others, Information Technology, the e-communication team within Communication and Liaison, web owners and web editors, and formalise the unwritten guidelines that have been applied until now.
