In June 2016 we were introduced to Office365, but do we really know how all the functions of this online mail service work?
One such a function is the “Clutter Folder”.
We have had many students (and some staff) who have reported that “email was missing” or that they were not receiving mail sent to them by mailing lists. While we initially thought that this was caused by users deleting mail or a problem with the email servers, an investigation revealed that in many cases the Clutter folder was the culprit.
As it was originally designed, the Clutter folder was supposed to help users filter low-priority email, saving time for more important messages. Supposedly, the email server would keep track of the email users read and the ones they didn’t and put them into the Clutter folder. For all new students, as well as staff, the mailbox feature “Clutter” is turned on. Once it is turned on, Clutter is automatic.
Because mail is left unread for a couple of days, Outlook 2016 starts sending a lot of mail to the Clutter Folder, leaving students to complain that mail is not being delivered and “important mail is missing”. All the “missing” mail is still there. It is just in the Clutter Folder.
The best solution is to disable the Clutter folder entirely, so unread mail is not sent there. Here is how to do it:
- Sign in to Outlook Web Access (http://www.sun.ac.za/webmail)
- In the top right-hand corner, click the small cog icon. A sidebar will appear.
- Near the bottom of the sidebar is a heading saying My App Settings.
- Click Mail underneath this and you will be taken to the Mail Options page.
- On the left menu, underneath the Automatic Processing menu item, click Clutter.
- Uncheck the box that says Separate items identified as clutter
- Click the Save button at the top of the page.
Once the Clutter filter has been disabled, you can then move all your “missing” mail in the Clutter Folder to your Inbox.

Een so ʼn funksie is die “Clutter” lêer.
Sommige studente, en soms ook personeel, het aangemeld dat hulle e-posse skielik verdwyn het of dat hulle nie e-posse kry wat vanaf verspreidingslyste gestuur word nie. Aanvanklik het ons gedink gebruikers vee per ongeluk die e-posse uit of dat daar ʼn probleem is met die e-posbedieners. Na verdere ondersoek het ons egter besef dat die Clutter-leêr die skuldige is.
Die Clutter-funksie is oorspronklik ontwerp om gebruikers te help om lae-prioriteit e-posse te filter, sodoende tyd te spaar vir meer belangrike boodskappe. Die bediener hou dan rekord van die e-posse wat gebruikers lees en die wat hulle nie lees nie en plaas dit in die Clutter-lêer. Die funksie word outomaties aangesit vir nuwe studente en personeel. Sodra dit aangeskakel is, werk dit outomaties.
Wanneer e-posse ongelees bly vir ʼn paar dae, begin Outlook 2016 meer en meer e-pos na die Clutter-leêr stuur. Gebruikers maak gevolglik die afleiding dat e-pos nie afgelewer word nie en belangrike e-pos verdwyn. Gelukkig is al die e-posse steeds beskikbaar, dis net in die Clutter-lêer.
Die beste oplossing is om Clutter heeltemal af te sit sodat ongeleesde e-posse nie daarheen versend word nie. Dis hoe jy dit kan doen:
- Teken aan by Outlook se Webtoegang (http://www.sun.ac.za/webmail)
- Kliek op die klein rat-ikoon in die regterhandse hoek. ʼn Sy-staaf sal verskyn.
- Naby die onderpunt van die sy-staaf is ʼn opskrif wat sê My App Settings.
- Kliek Mail daaronder en dit sal jou herlei na die Mail Options bladsy.
- Op die linkerkantse spyskaart, onder Automatic Processing, kliek op Clutter.
- Verwyder die merkie in die boksie wat sê Separate items identified as clutter
- Kliek die Save-knoppie onderaan die bladsy.
Sodra die Clutter filter afgesit is, kan jy al jou “verlore” e-posse weer terugskuif na jou Inbox.
