[:en] In 2014, due to rapidly increasing student numbers, Information Technology reassessed university’s e-mail configuration to avoid a shortage of storage space. Subsequently, student accounts were moved to Office 365, a cloud-based service which integrates with existing software used on campus.

At the moment, staff e-mail accounts are hosted and maintained locally on our Exchange servers. However, as with the student accounts, staff e-mail accounts will also be migrated to Office 365 within the next few months.

Initially only the e-mail service, Outlook, will be hosted in the cloud, but later staff will also have access to their documents wherever they go via Office 365 applications, e.g. OneDrive, Word, Excel and Powerpoint.

Other than a welcome increase in e-mail storage space to 50GB, there are various other advantages:

  • less archiving due to more storage space
  • saves time and increases productivity
  • a new and improved e-mail web interface
  • better availability
  • more secure

Little or no e-mail downtime is anticipated during the migration. Accounts will be moved in groups, per department, to ensure as little disruption as possible. Communication on the matter will be facilitated through the Head of Department and secretaries.

Gevolglik is studenterekeninge geskuif na Office 365, ʼn wolkgebaseerde diens wat soomloos integreer met die sagteware wat reeds op kampus gebruik word.

Personeel e-posrekeninge is tot dusver plaaslik op ons Exchange-bedieners onderhou en gehuisves. Binne die volgende paar maande word personeel se e-pos, net soos studente s’n, ook na Office 365 migreer.

office365Aanvanklik sal slegs e-posfasiliteite op die wolk gehuisves word, maar in die nabye toekoms sal personeel ook vanaf enige plek toegang tot hul dokumentasie kan kry d.m.v. Office 365 toepassings soos OneDrive, Word, Excel en Powerpoint.

Buiten ʼn welkome toename in e-pos stoorspasie na 50GB, is daar verskeie ander voordele:

  • minder argivering is nodig as gevolg van groter e-pos spasie
  • tydsbesparing en verhoogde produktiwiteit
  • ʼn nuwe, beter aanlyn e-posplatform
  • meer toeganklik en beskikbaar
  • strenger sekuriteit

Dienste sal soos normaalweg voortgaan tydens die migrasieproses en min, indien enige aftyd word voorsien. Rekeninge sal in groepe en per departement geskuif word, sodat so min as moontlik ontwrigting veroorsaak word. Kommunikasie rakende die proses sal fasiliteer word m.b.v. departementshoofde en sekretaresses.

[:en]At the end of the month your salary is safely in your bank account. We consider this a given and hardly think about it. But who ensures it happens, without fail, every month?

Information is crucial and strategic for a knowledge-intensive and knowledge-producing enterprise, such as a university, to thrive. Institutional software solutions[1] form the basis of all institutional information systems and process most institutional information. Examples at SU include the Human Resources, Financial, Research Administration, and Student Information Systems.

Information Technology’s newly reorganised division, Institutional Software Solutions (ISS), led by Ralph Pina, is responsible for building, providing, maintaining and supporting reliable, innovative and sustainable institutional software solutions that meet the University’s needs timeously and over the long term. It comprises some 36 software developers, business analysts, and managers, all accommodated on an open floor in the new ICT Building.

Without these systems, you won’t be able to receive your salary or request leave. No financial transactions would be possible. Students would not be able to access examination results or register at the beginning of the year. Administration of student records would have to be done by hand. 

These are just a few of the software solutions ISS is responsible for. In order to fulfill its crucial function, the ISS division has to: 

  • manage relationships with solution and system owners (clients), external and internal IT partners, stakeholders, communities and vendors;
  • perform business analysis to understand and help refine institutional processes, and determine requirements;
  • develop software, which includes designing and coding solutions with the long-term in mind, and establishing and maintaining the necessary software development environment, skills, and knowledge;
  • maintain software over the long term;
  • integrate  (connect) software applications and systems in order to orchestrate institutional processes, enable integrated reporting and integrated views of institutional information;
  • source software solutions by helping clients and partners to select solutions, and by brokering solutions i.e. facilitating the procurement of solutions;
  • support software solutions by monitoring operations, configuring systems, managing incidents, and problems, and helping clients and partners to train users;
  • architect data, software solutions and integrations in collaboration with the IT Architecture Function.
  • manage software solution development and implementation projects.

[1] University-owned or managed software applications (or solutions) that have a broad application across the institution, as opposed to specialised value for a single or few organisational entities within the university. The definition includes software such as web content management systems and mobile apps, amongst others. For example, a laboratory information system that has specialised value for only a single academic department or a single faculty would likely not be classed as an institutional software solution.

[:af]Aan die einde van die maand is jou salaris veilig in jou bankrekening. Ons beskou dit as `n gegewe en dink skaars daaroor. Maar wie sorg dat dit elke maand klokslag plaasvind?

Inligting is krities en strategies vir `n instelling wat kennis verskaf en ook kennis-intensief is, soos die universiteit, om te gedy. Institusionele programmatuuroplossings[1] vorm die basis van alle institusionele inligtingstelsels en verwerk die grootste gedeelte van institusionele inligting. Voorbeelde hiervan by Universiteit Stellenbosch  sluit die Menslike Hulpbronne, Finansiële, Navorsingsadministrasie en Studente-inligtingstelsels, in.

Informasietegnologie se nuutstruktureerde afdeling, Institusionele Programmatuuroplossings (ISS) word gelei deur Ralph Pina. Die afdeling is verantwoordelik vir die bou, onderhoud en ondersteuning van innoverende en volhoubare institusionele programmatuuroplossings wat tydig en langdurig aan die Universiteit se behoeftes voldoen. Die afdeling, bestaande uit 36 programmeerders, besigheidsanaliste en bestuurders, word gehuisves in `n oopplan-area in die nuwe IKT-gebou.

Sonder hierdie stelsels sal jy nie jou salaris maandeliks ontvang of aansoek om verlof kan insit nie. Geen finansiële transaksies sou moontlik wees nie. Studente sou nie toegang tot hulle eksamenresultate kon kry of aan die begin van die jaar registreer vir studies nie. Administrasie vir studente sou per hand moes geskied.

Bogenoemde is enkele programmatuuroplossings waarvoor ISS verantwoordelik is. Om sy kritieke funksie te vervul, moet die afdeling: 

    • verhoudings met oplossing-en stelseleienaars, (kliënte), eksterne en interne IT-vennote, aandeelhouers, gemeenskappe en verkopers bestuur;
    • besigheidsanalises uitvoer om institusionele prosesse te verstaan en verfyn en ook om behoeftes te bepaal;
    • programmatuur ontwikkel met langtermyn ontwerp- en kode-oplossings en die nodige omgewing vir programmatuurontwikkeling, vaardighede en kennis, vestig en handhaaf;
    • programmatuur in stand hou oor die langtermyn;
    • programmatuurtoepassings en – stelsels integreer sodat institusionele prosesse georganiseerd is, verslae ïntegreer kan word en institusionele inligting geïntegreerd bestudeer kan word;
    • programmatuuroplossings vind vir kliente en vennote, hulle help met hul keuses en die proses fasiliteer. 
    • programmatuuroplossings ondersteun deur prosesse te monitor, stelsels te konfigureer, insidente en probleme te bestuur en kliente en vennote te help om gebruikers op te lei;
    • datastrukture en programmatuuroplossings ontwerp en integreer, in samewerking met die IT Argitek.
    • die ontwikkeling van programmatuuroplossing bestuur en projekte implementeer.

[1] Programmatuurtoepassings of -oplossings besit en bestuur deur die Universiteit en wat oorhoofs gebruik word, in teenstelling met die gespesialiseerde waarde van `n enkele of paar organisatoriese entiteite binne die universiteit. Dit sluit programmatuur soos webinhoud bestuurstelsels en mobiele toepassings in.  `n Laboratorium inligtingstelsel wat waarde het vir `n enkele, akademiese departement of fakulteit, sal byvoorbeeld nie geklassifiseer word as `n institusionele programmatuuroplossing nie. 

 

[:en]New login method for sun-e-HR[:af]Nuwe aantekenmetode vir sun-e-HR

[:en]Please note that, as part of Information Technology Division’s renewal process, the sun-e-HR system will obtain a new login method. For any user of the sun-e-HR-system, this means that the login screen will change (screenprint below).

The sun-e-HR system will continue to be synchronised with your login credentials for Stellenbosch University. This means that you need to log in with your Stellenbosch University username and password.

Further to the above change, the sun-e-HR-system will also obtain a new web address, but can still be accessed via the My.SUN web page (http://my.sun.ac.za/)

As a result of the above changes, the sun-e-HR system will not be available from 27 May 2016 at 17:00 to 30 May 2016 at 08:00.

Should you experience any problems with your login credentials from 30 May 2016, please call the IT Helpdesk, at 021 808 4367 or help@sun.ac.za.

 [:af] Neem asb kennis dat weens die vernuwingsproses van die Afdeling Informasietegnologie, die sun-e-HR-stelsel ‘n nuwe aantekenmetode sal verg. Vir alle sun-e-HR stelselgebruikers sal die aantekenskerm verander (skermdruk hieronder).

Die sun-e-HR-stelsel sal steeds gesinchroniseerd wees met u Universiteit Stellenbosch gebruikersnaam en wagwoord. Dit beteken dat daar u steeds met u Universiteit Stellenbosch gebruikersnaam en wagwoord sal aanteken.

Behalwe bogenoemde verandering sal sun-e-HR ook ‘n nuwe webwerfadres kry. U sal egter steeds deur die My.SUN webblad (http://my.sun.ac.za/) toegang tot sun-e-HR verkry.

As gevolg van bogenoemde veranderinge sal die sun-e-HR-stelsel nie beskikbaar wees vanaf 27 Mei 2016 om 17:00 tot 30 Mei 2016 om 08:00.

We have good news for everyone who struggles to remember a plethora of passwords. Soon there will be one less when we simplify AIS/Tera Term’s login procedure.  

This new development means that you will soon be able to log into sun022, the system which, among others, hosts Tera Term, with your standard network username and password.

Phase one of the process is a “soft roll-out”, where SSO (Same Sign On) will be implemented. During this period, you will still be able to log in with your network username or, until it expires, with your existing AIS username. When your AIS password expires, the IT Service desk will not be able to reset it and you will have to start using your network username and password.

The primary AIS usernames of current AIS users (with more than one AIS username) will be connected to their network username.

After SSO is implemented, newly created AIS users’ usernames will be set to their SU number. This also implies that AIS usernames, roles, and functions will not be reused.

Take note that passwords for these functions should not be shared among staff and that, in doing so, the Electronic Communications Policy is violated. The new SSO approach also means that one password will give also give you access to your private Human Resources information. In other words, if you share your password, you also share your personal information.

Ons het goeie nuus as jy moeg is om daagliks ʼn stroom wagwoorde te probeer onthou. Binnekort is daar een minder wanneer ons die AIS/Tera Term aantekenmetode vergemaklik. 

Die aanpassing van die aantekenproses beteken dat jy voortaan met jou gewone netwerkgebruikersnaam en -wagwoord sal kan aanteken by sun022, die stelsel wat, onder andere, Tera Term huisves. 

Die eerste fase van die proses is ʼn “soft roll-out”, waar SSO (Same Sign On) implementeer word. Gedurende hierdie tydperk sal jy met jou netwerk of steeds met jou bestaande AIS gebruikersnaam, totdat dit verval, kan aanteken. Nadat SSO implementeer is, sal nuutgeskepte AIS gebruikers se gebruikersname programaties gestel word na hul US nommer. Dit impliseer ook dat AIS gebruikername, -rolle en -funksies nie hergebruik sal kan word nie. 

Neem kennis dat wagwoorde vir hierdie funksies nie gedeel mag word tussen personeel nie en dat indien dit wel gedoen word, dit die Elektroniese Kommunikasiebeleid oortree. Die SSO-benadering beteken ook dat een wagwoord toegang gee tot jou private Menslike Hulpbronne inligting. Indien jy dus jou wagwoord deel, deel jy ook jou persoonlike inligting.

Nuwe addisionele identiteite moet eerder op SUNiD geskep word.

nerdEarly last week media company, Sony, announced that they will be releasing a movie about emojis in August 2017. We know that Hollywood will make a movie out of anything, but emojis? Are these little symbols such a large part of our daily life and online culture that they justify a full-blown movie?

Not too long ago, when online chatting and SMS’s caught on, people expressed their emotions with basic symbols made up of punctuation marks, for example :) :( or :P. These were called emoticons and according to the Mental Floss they first appeared in a magazine in 1881.

Emojis, on the other hand, were created around 1998 by Shigetaka Kurita, a Japanese economics student who worked for a cellphone operator. The word “emoji” comes from Japan and doesn’t have a connection with the “emotions”. The “e” translates to “image” and “moji” to “character”.

However, these symbols didn’t look the same on all platforms and devices they were used. In 2007 Google adopted emojis and because they had the same code points, they always displayed the same, whichever device or platform you used. 

 

From 2010 onwards, some emoji character sets have been incorporated into Unicode, a standard system for indexing characters, which has allowed them to be used outside Japan and to be standardized across different operating systems. A company called Unicode Consortium is now responsible for regulating emojis and approving new ones.

The Oxford Dictionary named 😂 (Face With Tears of Joy) its 2015 Word of the year. It also noted that 2015 has seen a sizable increase in the use of the word “emoji” and recognized its impact on popular culture. 

Around six billion emojis are sent on mobile messaging apps every day, according to Digiday, a media company that specializes in digital media. (http://www.cbc.ca) So if you’re still wondering how relevant emojis are in online culture, that should be a good indication.

Ons weet teen die tyd dat Hollywood enige verskoning sal gebruik om ʼn fliek te maak, maar emojis? Is hierdie klein simbooltjies so ʼn groot deel van ons lewens en die aanlyn-kultuur dat dit ʼn behoorlike fliek verdien? 

Nie te lank gelede nie, toe aanlyn kletskamers en smse posgevat het, het mense hul emosies uitgedruk met basiese simbole wat bestaan het uit leestekens, byvoorbeeld :) :( of :P. Hierdie tekens is emotikons genoem en volgens Mental Floss het hulle die eerste keer reeds in 1881  in ʼn tydskrif verskyn.
