Or when you have to cancel going out with your best friend because you forgot you had to be somewhere else. Or when you get a call from someone important asking why you didn\u2019t show up for your meeting with them.<\/p>\n<p>The fact of modern life is this: it\u2019s busy. There\u2019s a lot to keep track of: \u00a0meetings, birthdays, events and, of course, your social life, to name but a few. To try to remember all of this is a waste of mental energy \u2013 energy that you could have put to better use.<\/p>\n<p>Using a paper planner is a step forward, in the sense that you don\u2019t have to remember everything. But really, keeping track of your life can be <i>better<\/i>, <i>easier<\/i> and <i>more fun<\/i>. And that\u2019s precisely where a digital calendar comes into the picture.<\/p>\n<div><strong>WHY USE A DIGITAL CALENDAR?<\/strong><\/div>\n<p>A digital calendar:<\/p>\n<ol>\n<li>Let\u2019s you <b>easily create events<\/b> (including repeating ones) and <b>move them around<\/b> \u2013 much better than having to cross out or erase in a paper planner;<\/li>\n<li>Can <b>present your schedule to you in different formats<\/b>, e.g. as a list of upcoming events, a day view, week view, month view, etc. \u2013 useful in different situations;<\/li>\n<li>Let\u2019s you set <b>reminders<\/b> for important events;<\/li>\n<li>Let\u2019s you <b>store additional information<\/b> with an event, e.g. where it takes place, as well as a description; and<\/li>\n<li>Let\u2019s you <b>search your events<\/b> \u2013 extremely handy in the rare cases when you need it.<\/li>\n<\/ol>\n<p>As an added extra, a digital calendar doubles as a<strong> diary <\/strong>of sorts: you\u2019ll easily be able to navigate back in time to see what you did at a specific point in the past.<\/p>\n<div><strong>THE TOOLS OF THE TRADE<\/strong><\/div>\n<p>There are a number of digital calendar tools available today, some as software that you install on your computer (e.g. Microsoft Outlook) and some as \u201ccloud\u201d calendars (i.e. where your data is securely stored online). While you can experiment with what works for you, Google Calendar \u2013 a free, cloud-based calendar \u2013 is bound to be a good choice, because it\u2019s simple to use and easily synced with multiple devices (e.g. your phone, tablet and computer).<\/p>\n<p><b><a href=\"google.com\/calendar\" target=\"_blank\">Google Calendar (Free)<\/a><\/b><\/p>\n<p>Once you\u2019ve signed up, you\u2019ll get a blank calendar, ready for you to <a href=\"http:\/\/support.google.com\/calendar\/answer\/72143?hl=en\">start adding events<\/a>. You\u2019ll be able to access your calendar from any computer with an internet connection by entering the above address in your web browser. If you have a smartphone or tablet, you can easily set it up to synchronise events with your Google Calendar, so you will have your schedule with you (and can add new events) wherever you go. Reading the <a href=\"http:\/\/support.google.com\/calendar\/answer\/2465776?hl=en\">welcoming page<\/a> will get you up and running with all this and more in no time.<\/p>\n<div><strong>THE GOLDEN RULE<\/strong><\/div>\n<p>When it comes to entering events, it\u2019s all or nothing.<\/p>\n<p>To get the most out of your digital calendar you\u2019ll need to commit to adding <i>everything<\/i> you want to keep track of. No more \u201cI don\u2019t need to add that meeting; I\u2019m sure I\u2019ll remember it\u201d. If you can\u2019t look at your calendar and <i>trust<\/i> that it\u2019s really giving you a complete picture of your schedule, it\u2019s really of no use.<\/p>\n<p>What this means in practical terms:<\/p>\n<ol>\n<li>Whenever someone wants to schedule something with you, take a look at your calendar first. The initial comments from your friends will stop as soon as they see how much easier it makes your life.<\/li>\n<li>Once you have a date or time for an activity, create a new event immediately, so as to prevent forgetting to add it later. For example, the moment you hear about a test in class, you and your friend decide on a coffee date or you see a notice of your favourite band performing in Aandklas or Bohemia, quickly jot it down in your calendar.<\/li>\n<\/ol>\n<p>The easiest way to accomplish both of the above is to have your calendar set up on your phone or tablet (see the previous section). While the above may sound like a cumbersome habit, you\u2019ll get used to it very quickly. And from what you\u2019re going to gain from it, it\u2019s totally worth it.<\/p>\n<div><strong>OTHER HELPFUL TIPS AND TRICKS<\/strong><\/div>\n<p>By simply taking a look at your calendar before scheduling events and entering new ones the moment you hear about them, you\u2019ll already be able to get a better grip on the practicalities of your daily life. To get even more from your calendar, use these pointers:<\/p>\n<ul>\n<li><a href=\"http:\/\/support.google.com\/calendar\/answer\/37095?hl=en\">Create sub-calendars<\/a> for different facets of your life (e.g. \u201cTests and exams\u201d, \u201cClasses and tuts\u201d, \u201cProjects\u201d and \u201cPersonal and social\u201d);<\/li>\n<li>Add <a href=\"http:\/\/support.google.com\/calendar\/answer\/37115?hl=en\">repeating events<\/a> for your classes;<\/li>\n<li>Use event descriptions to add handy information (e.g. the scope of a test or the topic of a meeting);<\/li>\n<li>Add \u201cTBC\u201d (To be confirmed) or \u201cTBD\u201d (To be decided) after event titles to keep track of events of which the time is tentative (e.g. \u201cJohn\u2019s braai TBC\u201d), or of events that you haven\u2019t decided whether or not you want to go. This prevents you from accidentally scheduling events in those time slots because you didn\u2019t see that there already was a chance of something else going on.<\/li>\n<li>Create a daily to-do list on your calendar by adding all-day events with \u201c[ ]\u201d in front of the title (e.g. \u201c[ ] Buy groceries\u201d). Once you\u2019ve completed the task, \u2018tick\u2019 the box by changing the text to \u201c[X]\u201d (e.g. \u201c[X] Buy groceries\u201d). It\u2019s a simple trick, but very powerful.<\/li>\n<\/ul>\n<div><strong>A LAST NOTE<\/strong><\/div>\n<p>While using a digital calendar will certainly add value to your life, there\u2019s perhaps one last, more general principle you need to bear in mind: don\u2019t over-organise. Leave room for the unexpected, spontaneous and serendipitous; don\u2019t be a calendar fundamentalist (\u201cif it\u2019s not on my calendar, it\u2019s not happening\u201d). At the same time, don\u2019t lose your reins on life and allow it to run away with you. After all, a calendar is there to help simplify your life. Of wanneer jy \u2019n oproep kry van \u2019n belangrike persoon om te vra hoekom jy nie by die vergadering met hulle was nie.<\/p>\n<p>Die waarheid van die moderne lewe is: dis besig. Daar is baie waarmee jy op hoogte van moet bly: vergaderings, verjaarsdae, geleenthede en, natuurlik, jou sosiale lewe \u2013 om net \u2019n paar te noem. Om al hierdie goed te probeer onthou is \u2019n gemors van geestelike energie \u2013 energie wat jy beter kan gebruik.<\/p>\n<p>Om van \u2019n papierbeplanner te gebruik is reeds \u2019n goeie stap, in die sin dat jy nie meer alles hoef te probeer onthou nie. Maar werklik, om op hoogte van jou lewe te bly kan betermakliker en baie meer pret wees. En dit is presies waar \u2019n digitale kalender in die prentjie inkom.<\/p>\n<div><strong>HOEKOM \u2019n DIGITALE KALENDER?<\/strong><\/div>\n<p>\u2019n Digitale kalender:<\/p>\n<ol>\n<li>Maak dit vir jou maklik om geleenthede te skep (insluitend di\u00e9 wat herhalend is) en hulle rond te skuif \u2013 wat baie beter is as om goed op \u2019n papierbeplanner uit te krap of uit te vee;<\/li>\n<li>Kan jou skedule in verskillende formate aan jou wys, bv. as \u2019n lys opkomende geleenthede, \u2019n dag-sig, week-sig, maand-sig, ens. \u2013 nuttig vir verskillende situasies;<\/li>\n<li>Laat jou toe om herinnerings te stel vir belangrike geleenthede;<\/li>\n<li>Laat jou addisionele inligting stoor m.b.t. \u2019n geleentheid, bv. waar dit plaasvind, sowel as \u2019n beskrywing; en<\/li>\n<li>Laat jou toe om jou geleenthede te deursoek \u2013 baie nuttig in die seldsame gevalle wanneer jy dit nodig het.<\/li>\n<\/ol>\n<p>As \u2019n bykomende ekstra dien \u2019n digitale kalender ook in \u2019n sekere mate as \u2019n soort dagboek: jy sal maklik terug kan navigeer om te sien wat jy op \u2019n spesifieke tydstip in die verlede gedoen het.<\/p>\n<div><strong>DIE GEREEDSKAP WAARMEE JY KAN WERK<\/strong><\/div>\n<p>Daar is \u2019n groot verskeidenheid digitale kalender gereedskap wat tans beskikbaar is \u2013 sommige as sagteware wat jy op jou rekenaar installeer (bv. Microsoft Outlook) en sommige as \u201c<i>cloud<\/i>\u201d kalenders (m.a.w. waar jou data sekuur aanlyn gestoor word). Hoewel jy natuurlik kan eksperimenteer om uit te vind wat vir jou werk, is die kanse goed dat Google Calendar \u2013 \u2019n gratis, <i>cloud<\/i>-gebaseerde kalender \u2013 \u2019n goeie keuse sal wees aangesien dit eenvoudig is om te gebruik en maklik met verskeie toestelle gesinkroniseer kan word (bv. jou foon, tablet en rekenaar).<\/p>\n<p><b><a href=\"google.com\/calendar\" target=\"_blank\">Google Calendar<\/a><\/b><\/p>\n<p>Sodra jy aangesluit het, sal jy \u2019n oningevulde kalender ontvang wat gereed is vir jou om te begin <a href=\"http:\/\/support.google.com\/calendar\/answer\/72143?hl=en\">om geleenthede<\/a> by te voeg. Jy sal vanaf enige rekenaar toegang tot jou kalender kan kry solank jy internettoegang het en die adres hierbo in jou webblaaier insleutel. Indien jy \u2019n slimfoon of tablet het, is dit maklik om dit op te stel om geleenthede met jou Google Calendar te sinkroniseer, wat beteken jy het jou skedule byderhand (en kan nuwe geleenthede byvoeg) waar jy ook al is. Deur die <a href=\"http:\/\/support.google.com\/calendar\/answer\/2465776?hl=en\">verwelkomingsblad<\/a> te lees, sal jy vinnig aan die gaan kom.<\/p>\n<div><strong>DIE GOUE RE\u00ebL<\/strong><\/div>\n<p>Wanneer jy geleenthede invoeg, is dit alles of niks.<\/p>\n<p>Om die meeste uit jou digitale kalender te put, sal jy jouself daartoe moet verbind om <i>alles <\/i>in te voeg waarmee jy tred wil hou. Dis nou nie meer tyd vir \u201cDis nie nodig om daardie vergadering in te voeg nie; ek\u2019s seker ek sal dit onthou\u201d. As jy nie na jou kalender kan kyk en kan <i>vertrou <\/i>dat dit jou \u2019n volledige beeld van jou skedule gee nie, is dit nutteloos.<\/p>\n<p>In praktiese terme beteken dit dat:<\/p>\n<ol>\n<li>Elke keer dat iemand iets met jou wil skeduleer, kyk eers na jou kalender. Die aanvanklike opmerkings deur jou vriende sal ophou sodra hulle sien hoeveel makliker dit jou lewe maak.<\/li>\n<li>Sodra jy \u2019n datum of tyd vir \u2019n aktiwiteit het, moet jy \u2019n nuwe geleentheid onmiddellik skep sodat jy nie vergeet om dit later by te voeg nie. Byvoorbeeld, die oomblik wat jy in die klas hoor van \u2019n toets, jy en jou vriende besluit om saam koffie te drink of jy \u2019n kennisgewing sien dat jou gunsteling musiekgroep in Aandklas of Bohemia optree, maak \u2019n vinnige nota daarvan in jou kalender.<\/li>\n<\/ol>\n<p>Die maklikste manier op albei punte hierbo uit te voer, is om jou kalender op jou foon of tablet op te stel (sien vorige afdeling). Hoewel dit dalk soos \u2019n lastige gewoonte klink, sal jy vinnig daaraan gewoond raak. En dit is absoluut die moeite werd as jy sien wat jy daaruit sal kry.<\/p>\n<div><strong>NOG NUTTIGE WENKE EN TRUUKS<\/strong><\/div>\n<p>Deur eenvoudig na jou kalender te kyk voor jy geleenthede skeduleer en nuwes in te skryf sodra jy van hulle hoor, sal dit reeds vir jou moontlik wees om beter houvas te kry oor die praktiese sake betreffende jou lewe. Gebruik die volgende wysers om selfs meer uit jou kalender te put:<\/p>\n<ul>\n<li><a href=\"http:\/\/support.google.com\/calendar\/answer\/37095?hl=en\">Skep subkalenders<\/a> vir verskillende fasette van jou lewe (bv. \u201cToetse en eksamens\u201d, \u201cKlasse en tuts\u201d, \u201cProjekte\u201d en \u201cPersoonlik en sosiaal\u201d);<\/li>\n<li>Voeg <a href=\"http:\/\/support.google.com\/calendar\/answer\/37115?hl=en\">herhalende geleenthede<\/a> vir jou klasse by;<\/li>\n<li>Gebruik geleentheidsbeskrywings om nuttige inligting by te voeg (bv. waaroor \u2019n toets gaan of die onderwerp van \u2019n vergadering);<\/li>\n<li>Voeg inligting by soos \u201cTBC\u201d (<i>To be confirmed<\/i>) of \u201cTBD\u201d (<i>To be decided<\/i>) of iets soortgelyks n\u00e1 geleentheidstitels om tred te hou met geleenthede waarvan die tyd tentatief is (e.g. \u201cJan se braai TBC\u201d), of met geleenthede waaroor jy nog nie seker is of jy wil gaan of nie. Dit keer dat jy per ongeluk ander geleenthede in daardie tydgleuwe skeduleer omdat jy nie gesien het dat daar reeds \u2019n kans is dat iets ander gebeur nie.<\/li>\n<li>Skep \u2019n daaglikse taaklys op jou kalender deur heeldag- geleenthede in jou kalender in te voeg met \u201c[ ]\u201d voor die titel (bv. \u201c[ ] Koop kruideniersware\u201d). Wanneer jy hierdie taak verrig het, hoef jy net die blokkie te merk deur die teks na \u201c[X]\u201d te verander (bv. \u201c[X] Koop kruideniersware\u201d). Dis \u2019n eenvoudige truuk maar baie kragtig.<\/li>\n<\/ul>\n<div><strong>`N FINALE PUNT<\/strong><\/div>\n<p>Hoewel die gebruik van \u2019n digitale kalender sonder twyfel waarde aan jou lewe sal voeg, is daar miskien \u2019n laaste, meer algemene beginsel wat jy in gedagte moet hou: <b>moenie \u00f3\u00f3r organiseer nie.<\/b> Laat ruimte vir iets onverwags, spontaan en gelukkig-toevallig; moenie \u2019n kalender fundamentalis wees nie (\u201cas dit nie op my kalender is nie, vergeet daarvan\u201d). Maar jy moet terselfdertyd ook nie jou beheer oor jou lewe verloor en toelaat dat dit met jou weghol nie. \u2019n Kalender is tog daar om jou te help om jou lewe te vereenvoudig.
